Booking Terms & Conditions
1. Your Agreement With Us
By making a booking with The Barefoot Collective Limited (“we”, “us”, “our”), you confirm that you have read, understood, and agree to be bound by these Booking Terms & Conditions.
A legally binding agreement between you and us comes into existence once we issue your booking confirmation email. These Terms, together with your booking confirmation and any relevant pre-contract information, form the basis of our agreement.
2. Booking & Payment
To secure your place, a non-refundable deposit is required at the time of booking. The amount will be specified at the point of sale.
The remaining balance must be paid in full no later than 8 weeks prior to the retreat start date, unless otherwise agreed under a payment plan.
If your booking is made within 8 weeks of the retreat start date, full payment will be required immediately.
Where a payment plan is offered:

Instalments must be paid on time as agreed

Failure to make payment may result in cancellation of your booking

Any payments made up to that point may be retained and cancellation charges applied
All payments must be made in GBP. You are responsible for any bank charges or currency conversion fees.
3. Pricing & Changes
We reserve the right to adjust pricing prior to booking confirmation.
After confirmation, price changes may only occur in limited circumstances, such as:

Changes in taxes or local fees

Exchange rate fluctuations
-
Significant increases in transport or supplier costs
We will always aim to keep pricing stable and transparent.
4. Cancellations by You
If you need to cancel your booking, you must notify us in writing. Your cancellation will take effect from the date we receive it.
The following cancellation terms apply:

Deposit: Non-refundable in all circumstances

More than 12 weeks before retreat: Loss of deposit only

8–12 weeks before retreat: 50% of total retreat cost payable
-
Less than 8 weeks before retreat: 100% of retreat cost payable
5. Changes to Your Booking
If you wish to make changes (such as transferring to another retreat or changing dates), we will do our best to accommodate this, but cannot guarantee availability.

Changes may incur an administration fee (£30–£100 depending on complexity)
-
Transfers to another retreat are generally not permitted within 6 weeks of the start date
-
If changes are not possible, your request may be treated as a cancellation
6. Cancellations or Changes by Us
We reserve the right to make changes to retreats where necessary.
In the unlikely event that we need to cancel your retreat:

You will receive a full refund of all monies paid, or
-
You may choose to transfer your booking to a future retreat
We are not responsible for any additional costs incurred by you (e.g. flights, travel arrangements).
7. Force Majeure (Unavoidable Circumstances)
We are not liable for failure to perform our obligations where this is due to events beyond our control, including but not limited to:

Natural disasters
-
Pandemics
-
Government restrictions
-
War / Terrorism
-
Travel disruption
-
Adverse weather
In such cases, refunds or compensation may not be available.
8. Travel Insurance (Mandatory)
Comprehensive travel insurance is a condition of booking.
Your policy must cover:

Trip cancellation and curtailment
-
Medical expenses
-
Personal belongings
-
Participation in retreat activities
We strongly recommend purchasing insurance at the time of booking.
9. Health, Fitness & Participation
By attending a retreat, you confirm that:

You are physically and mentally fit to participate in the activities offered
-
You will inform us in advance of any medical conditions, injuries, or special requirements
We reserve the right to refuse participation in activities if we believe it may pose a risk to your health or safety.
You participate in all activities at your own risk.
10. Retreat Experience & Itinerary
Our retreats are designed as curated group experiences. While we aim to deliver the itinerary as advertised, changes may occasionally be necessary due to weather, local conditions, or operational reasons.

Alternative activities may be offered where possible

No refunds will be given for minor changes to the itinerary
11. Behaviour & Community Standards
We are committed to creating a respectful, safe, and welcoming environment.
We reserve the right to remove any participant whose behaviour:

Is disruptive, unsafe, or disrespectful
-
Negatively impacts other guests or staff
-
Violates local laws or cultural norms
In such cases:
-
No refund will be given
-
You will be responsible for any additional costs incurred
12. Travel Arrangements
Unless explicitly stated:

Flights are not included
-
Transfers may be provided only at specific times
It is your responsibility to:
-
Arrive on time for scheduled transfers
-
Arrange alternative transport if required
We are not responsible for missed connections or travel disruptions.
13. Personal Belongings
You are responsible for your personal belongings at all times.
We are not liable for:

Loss
-
Theft
-
Damage to personal items
14. Photography & Marketing
During our retreats, photos and videos may be taken for marketing purposes.
By attending, you consent to the use of such content across:

Website
-
Social media
-
Promotional materials
If you prefer not to be included, please notify us in writing prior to the retreat.
15. Complaints
If you experience any issues during your retreat, you must inform us immediately so we have the opportunity to resolve them.
If the matter is not resolved during the retreat, you must submit your complaint in writing within 14 days of your return.
16. Liability
We are responsible for providing services with reasonable care and skill.
However, we are not liable for:

Events outside our control
-
Actions of third-party providers
-
Losses that could have been covered by insurance
Our liability is limited to the total cost of your booking, except in cases of death or personal injury caused by negligence.
17. Passports, Visas & Health Requirements
It is your responsibility to ensure that you hold a valid passport and meet all entry requirements for your destination, including any visa, vaccination, or health documentation requirements.
Passports are typically required to be valid for at least six months beyond your return date. Requirements may vary depending on your nationality and destination.
We can provide general guidance where helpful, but we do not accept responsibility for any issues arising from failure to comply with entry or health requirements. This includes (but is not limited to) denied boarding, refusal of entry, or additional costs incurred.
We recommend checking the latest travel advice from official government sources and consulting your healthcare provider where appropriate prior to travel.
No refunds will be issued where you are unable to travel due to failure to meet passport, visa or health requirements
18. Legal Jurisdiction
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
19. Package Travel Regulations
Where your booking with us includes a combination of travel services (such as accommodation together with retreat activities or other services), this may constitute a “package” within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018.
In such cases, you will benefit from the rights granted to travellers under those Regulations. We will be responsible for the proper performance of the services included in your booking, subject to the terms set out in these Booking Conditions.
Where your booking does not constitute a package, individual services may be provided by third-party suppliers and will be subject to their own terms and conditions.
